We understand that sometimes plans change — life events, health situations, and family emergencies are real. Our cancellation and refund policy is designed to be fair, transparent, and compassionate while reflecting the reality that we pre-book your flights, hotels, guides, and VIP darshan passes on your behalf and are subject to their cancellation terms.
All cancellations must be communicated in writing via WhatsApp or email to Booking@adamvacations.com. Verbal cancellations are not accepted. The date of written communication is treated as the effective cancellation date.
Our First Response to Cancellations is Always: Can we reschedule instead? A rescheduled yatra often costs less than cancellation penalties and keeps your sacred journey alive. We strongly encourage rescheduling before cancellation.
The following policy applies to the Adam Vacations service fee and ground arrangements (hotel, guide, transfers, darshan). Flight ticket refunds are governed by the specific airline's policy.
| Notice Before Travel | Refund of Package Cost | Deduction |
|---|---|---|
| 30 or more days | 90% | 10% processing & admin fee |
| 15 – 29 days | 70% | 30% cancellation fee |
| 7 – 14 days | 50% | 50% cancellation fee |
| 3 – 6 days | 25% | 75% cancellation fee |
| Less than 3 days | No refund | 100% forfeiture |
| No-show (no contact) | No refund | 100% forfeiture |
Note on Flights: Flight tickets are subject to the airline's own cancellation policy, which may be non-refundable or partially refundable. Budget airline tickets are often non-refundable. We always inform you of the refundability of your tickets at time of booking.
We treat medical and bereavement cancellations with maximum compassion. On submission of a valid doctor's certificate or bereavement documentation:
- We apply a Medical Compassion Waiver — typically offering 50–70% refund even within the standard no-refund window, subject to what we can recover from airlines and hotels on your behalf
- Alternatively, we offer a Trip Rescheduling Credit — the full amount is credited for a future booking with us, avoiding all cancellation penalties. Your yatra remains alive for when you recover.
We strongly recommend travel insurance that covers trip cancellation due to medical emergency — it pays out the full amount regardless of our policy.
If your trip is disrupted or cancelled due to events beyond anyone's control, including:
- Natural disasters (floods, earthquakes, landslides)
- Government-imposed travel restrictions or lockdowns
- Kedarnath or other temple emergency closures
- Kedarnath helicopter grounding due to severe weather (beyond our buffer day)
- Airline strikes or operational failures
Our Policy: Full refund of all unused, non-recoverable services. We pass on 100% of whatever we recover from hotels, airlines, and ground operators to you. Our service fee component is refunded fully in force majeure cases.
Kedarnath helicopter services are frequently disrupted by cloud cover and weather. Our standard approach:
- We build a 1-day buffer into all Kedarnath itineraries — this covers most weather delays
- If weather clears within the buffer day, your darshan proceeds as planned
- If weather does not clear after the buffer day and trek is not feasible, we refund the helicopter + Kedarnath hotel component in full
- Alternatively, we can extend your stay by 1 more day at your cost — many customers prefer this over missing Kedarnath darshan
Rescheduling is always our preferred solution over cancellation. We believe your yatra should happen — just at the right time.
| Notice Period | Rescheduling Terms |
|---|---|
| More than 15 days | Full rescheduling — no penalty from our end. Airline change fee may apply (typically ₹2,000–4,000 per ticket depending on carrier). |
| 7–14 days | Hotel and guide can be rescheduled. Airline change or cancellation fee applies. New dates subject to availability. |
| Less than 7 days | Hotels reschedulable in most cases. Flights may need to be forfeited and rebooked. We assist with minimizing loss. |
All rescheduled trips retain the original quoted price for up to 12 months from the original booking date, subject to hotel and flight availability at equivalent rates.
Contact us the moment you know a reschedule is needed. Every day of earlier notice dramatically improves your options and minimizes losses.

Reducing group size: If the number of travellers decreases after booking, charges for the removed travellers apply based on notice period. The per-person cost for remaining travellers may increase if the trip was priced on a group basis.
Downgrading hotel: Hotel downgrades (e.g., from 3-star to budget) can be accommodated subject to availability and 10 days' notice. Refunds for the price difference are processed within 7 business days.
Upgrading services: Upgrades (better hotel, adding helicopter, adding VIP puja) are welcome anytime — subject to availability and additional payment.
